InspectionManagr, a product of OmniManagr, developed by Acache.


Your privacy matters. This policy explains what data we collect, why, and how we protect it. We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Indian Digital Personal Data Protection Act 2023.

1. Who We Are


Acache (“we”, “us”, “our”), trading as OmniManagr, operates the InspectionManagr mobile application and web portal. We are the data controller for personal data processed through our services.

2. Data We Collect


2.1 Account Information

  • Name, email address, phone number

  • Company name and role (landlord, inspector, contractor)

  • Login credentials (password stored as salted hash; we never see your password)

2.2 Property & Inspection Data

  • Property addresses, room layouts, asset inventories

  • Inspection reports: condition ratings, cleanliness ratings, notes, timestamps

  • Photographs taken during inspections (stored in Azure Blob Storage)

  • Voice notes and audio recordings (processed via Whisper for transcription)

  • Digital signatures (tenant and inspector)

  • Compliance certificates and documents

2.3 Tenant Data (Processed on Behalf of Landlords)

  • Tenant name, email, phone number

  • Nationality (for Right to Rent compliance, Immigration Act 2014)

  • Identity documents: passport, BRP, driving licence photographs

  • Right to Rent verification records

2.4 Technical & Usage Data

  • Device type, operating system, app version

  • GPS location (captured at inspection start and sign-off, with your permission)

  • IP address and session data

  • Crash reports and performance metrics (via Application Insights)

3. Why We Process Your Data


  • Contract performance: To provide the inspection, property management, and compliance tracking services you signed up for

  • Legal obligation: To comply with UK landlord regulations (Gas Safety Regs 1998, Immigration Act 2014, Housing Act 2004, Smoke & CO Alarm Regs 2015)

  • Legitimate interest: To improve our services, prevent fraud, and ensure platform security

  • Consent: For optional features like push notifications and marketing communications

4. Data Sharing


We do not sell your data. We share it only with:


  • Your team members: Inspectors and staff you’ve invited to your account

  • Tenants: Inspection reports shared via sign-off links (OTP-protected)

  • Cloud providers: Microsoft Azure (hosting, blob storage, database); data stored in UK South region

  • Payment processor: Stripe (for subscription billing; we never store card details)

  • Email service: SendGrid (for transactional emails; sign-off links, reminders)

  • Legal authorities: If required by law or court order

5. Data Storage & Security


  • All data stored on Microsoft Azure servers in the UK South region

  • Encryption in transit (TLS 1.2+) and at rest (AES-256)

  • Multi-tenant architecture: each client’s data is isolated in a separate database

  • JWT authentication with token refresh and optional MFA

  • Tokens stored in device secure enclave (Keychain on iOS, EncryptedSharedPreferences on Android)

  • Offline inspection data encrypted on-device using AES-256 with a hardware-backed key

6. Data Retention


  • Inspection reports: Retained for the duration of the tenancy + 6 years (deposit dispute limitation period)

  • Identity documents: Retained for 12 months after tenancy ends (Right to Rent regulations)

  • Account data: Retained while your account is active + 30 days after deletion request

  • Photos & voice notes: Same retention as inspection reports

7. Your Rights


Under UK GDPR and applicable data protection laws, you have the right to:


  • Access: Request a copy of your personal data

  • Rectification: Correct inaccurate data

  • Erasure: Request deletion (“right to be forgotten”)

  • Portability: Receive your data in a machine-readable format

  • Object: Object to processing based on legitimate interest

  • Restrict: Limit how we use your data

  • Withdraw consent: At any time for consent-based processing

8. Cookies & Tracking


The mobile app does not use cookies. The web portal uses essential cookies for authentication (session token). No third-party advertising or analytics cookies are used.

9. Children


InspectionManagr is not intended for use by anyone under 18. We do not knowingly collect data from children.

10. International Data Transfers


Our development team is based in India. Operational data (property and inspection data) is stored in Microsoft Azure UK South. Access to data by our team for support and development purposes is protected by appropriate safeguards including encryption and access controls.

11. Changes to This Policy


We may update this policy. Material changes will be notified via email or in-app notification. Continued use after changes constitutes acceptance.

12. Complaints


If you are a UK resident and unhappy with how we handle your data, you can complain to the Information Commissioner’s Office (ICO): ico.org.uk or call 0303 123 1113.
